The Director's Secretary is responsible for structuring the daily activities for the African-American Health Center Director and staff; assists in program organization, special projects/events and compilation of reports to ensure needs and goals of both departments are met in a timely manner; maintains an efficient, confidential system for filing, data management, minutes, program coordination and day to day management of operations of the offices; performs designated duties requiring knowledge of administrative skills, organizational structure/procedures and system/departmental policies with strict confidentiality.

Experience
3-5 Years Secretarial experience in an administrative related capacity. - Required
Demonstrates typing skills, recording and transcription ability preferred, use/knowledge of personal computer and other office equipment, organizational skills and ability to maintain confidentiality relative to position.

Core Job Functions
Assist clients with use of copier, fax, phone. Prepare monthly report and stats.
Composes and types correspondence, reports, meeting notes. Arranges meetings, coordinates appointments, and other activities.
Answers telephonic inquiries regarding the SJ/C HS and the community. Health service information is processed in a timely manner. Referrals, appointments, class/screening registration, web inquiries are processed documented within the call center's database accurately.
Updates, collates and copies all forms required by guards, applicants and visitors. Promptly files monthly records of check-in logs, Incident Reports and Management Administrative files. Receives completed applications, verifies completion and checks personal references.
